To: All Staff

RE: Communications Guideline For our IG Website

Our International Gadget’s Website delivers a variation of information about our corporation, the personnel, and products for instance. The website is the first impression of our corporation that consumers have, in addition to our Intranet, our internal webpage is used as a valuable resource for communications and collaboration. The appearance, purpose and functionality of our website was initially intended to highlight our company, mission, plans, and products in the most persuasive way possible. Therefore, our go-betweens, and content editors should use exceptional insight, thought, and logic when disseminating information on the IG Website and Social Media Websites.

Please adhere to the ensuing guidelines, and instruction whenever making or editing web content:


  1. Clarity of Purpose

 

  • Specific departments and programs are responsible for creating and maintaining the content related to their areas. Every department must determine how their information fits within the website as a whole. Departmental pages should not exist in isolation, but as a key cog in the communication machine we are building. You will work with correlated departments to classify and simplify the detailed purpose of each page, and when possible, you will associate related information in other areas instead of just duplicating. You are never to copy information from one area of the website, to paste into another.
  • It is the responsibility of every employee who observes any misrepresentation, bad links, typing errors, or web page errors, to get the issue corrected instantly. The problem will be reported to the moderator of that website’s section, the Information Technology Department, or the Communications Department.

2. Accessibility

  • This is paramount as IG strives to have the most functional website for all users. Understanding the user’s perspective is key to the appreciation of Web Accessibility. So, we must keep our disabled users in mind when considering Web Accessibility.
  • Awareness of issues and disabled users are the keys to the successful implementation of Web Accessibility. A lack of awareness leads to errors on websites, and an exclusion of a particular group of users. An absence of this will cost us revenue and customers.
  • Policies and Procedures, when department heads or managers articulate their commitments to a certain inkling, it must be backed by policy or the idea will get lost along the daily practices. Therefore, the creation of an internal policy will be put in place.
  • A majority of people today can barely consider a life short of the Internet. In addition, there is absolutely no invention that has been more innovative than the Internet. For this reason, with the click of a mouse you can have the world in the palm of your hands in a matter of seconds. So, it is imperative that our website is made accessible to all user types internally and externally.

3. Audience

  • The information that you allocate to our website should be something that existing or potential customers or employees may be interested in or informative. Information that applies to the IG Staff or business operations will be added to our company’s Intranet. This will act as what is now obsolete: Storage Rooms, and Filing Cabinets that only internal staff will have access to. But even then, we will ensure that staff will only have access to what pertains to their daily responsibilities. Additionally, our content moderators will be tasked with determining what information will be applied to the intranet, and our external/public website. If any questions arise, they will be deliberated with the Communications Department, IT Department and the content manager.

4. Allowances for Access by various devices

  • Management of various departments will be responsible for the determination of allowable usage in mobile devices. Personal devices will not be allowed as a mobile device will be approved and assigned to the appropriate party. This is based on position. Therefore, the employee’s position is one that will require the employee to regularly send, and respond to emails, chat groups, etc.
  • Employee Responsibility will be exercised at all times, requiring employees to conduct IG business that is covered by all policies and laws that will apply to the activity. This could include but not limited to confidentiality agreements, public record laws, etc.

Ethical Considerations

  • These will be addressed at the individual levels, and replicates the way staff are affected by the behavior of others virtues of ethical consideration. Ethics are our standards for behavior that differentiate right and wrong.
  • Ethical standards thwart the falsification of information and therefore, endorse the quest of knowledge and veracity which is the primary goal of IG. Ethical conduct is significant for teamwork because it sponsors an environment of confidence, responsibility, and communal reverence amongst our business environment.  

Online Help

  • If our users are having difficulty with following the phases of a procedure, then the process will be available online for them to view. This will mirror how we add our information about new and existing products and services. Therefore, users will be able to self-serve as they will be able to answer their own questions with a couple clicks on their mouse. We will also have an external help area such as a customer help area and internal help area for our staff because there are a lot of similar questions that could be answered without the calling of the 1-800 Support Line.

Conclusion

The entire world is communicating online more than ever especially with the evolution of Mobile Devices, so you can be certain that IG will be. So, as we communicate more effectively following the established guidelines I outlined, we will be certain to communicate more effectively with our consumers as well as our colleagues. This will lead us to being a profitable, well respected company that cares about their consumers and staff.
